Document and Records Imaging

Client History

United Health Services Inc. (UHS) is a major regional hospital with four hospital locations, over 33 additional outreach clinics, major trauma facilities, and several specialty practices. As with all hospitals, managing sensitive data for its patients in a timely manner is critical.

With much of its information in paper format geographically dispersed across all of its locations, UHS needed to find a better way to manage data and serve its patients in their time of need faster. Further, UHS found that storing mountains of paper records was costly and took up much needed space in its facilities. As such, they decided to migrate to a digital system.

To do this, UHS purchased an enterprise system from McKesson and hired ADEC to oversee the quality of imaging of its records. ADEC's relationship with UHS has spanned almost 10 years, and continues strong. To date, ADEC has successfully digitized hundreds of thousands of documents into the McKesson system for easy retrieval utilizing the highest quality standards on resolution and readability, so no data is compromised.

Client Need/Driver

Looking across all of its operations, UHS and ADEC identified another area for process improvement - the prescription drug fulfillment area. Reliant on paper documents for orders, UHS wanted to implement a new electronic system that increased the timeliness and accuracy of fulfilling prescription drugs to improve its service to its patients.

Solutions Implemented by ADEC Solutions

ADEC developed a custom pharmacy order processing system to replace the paper based fax system that was previously in use across the UHS enterprise. This system has made dramatic improvements to speed, accountability, and fulfillment of prescription drugs across all locations within the UHS System. This system has also closed all "coverage gaps" that existed with the paper system.

Benefits to Client

By implementing the new system, UHS not only improved its patient care service, but it also improved its bottom line performance and environmental performance. Noticeable impacts included:

  • Better and faster patient care as a result of enhanced work flows,
  • Improved accuracy and documentation of all prescription orders,
  • Improved communication across the enterprise,
  • Reduced waste and expense from reduction of paper use,
  • Improved timeliness of orders as the program also continues to operate
seamlessly at all hours across all locations.
  • Improved information sharing for treatment, at the facility level, providing more
    space for central medical practices,
  • Reduced manpower and monthly costs associated with paper records
    storage and retrieval.

In summary, the Pharmacy program we administered replaced an old paper based system, improved work flow at the pharmacy level, improved speed in which drugs can be dispensed.
